Contributor privacy notice

For anyone who appears in an EXF film or photograph: what we record, how it is used and your rights.

Exell Film Ltd, trading as EXF.STUDIO. Company number 12112829. Last updated 26 October 2026.

Who this is for

This notice is for customers, founders, employees, members of the public and anyone else who takes part in a film, photograph, interview or recording made by Exell Film Ltd, trading as EXF.STUDIO ("EXF", "we", "us"). Real people are at the heart of our work, so we take this seriously.

What we record

  • Your image, voice and what you say on camera or in interview.
  • Your name, job title and organisation if you choose to be credited.
  • Contact details so we can arrange filming and keep you updated.
  • Signed release or consent forms.
  • Any access, dietary or health information you choose to share so we can look after you on the day. We use this only for your safety and delete it after the shoot.

How it is used

Recordings are used to make the film, photographs and edits agreed for the project, and are published by our client in the places described in your release. Our client usually owns the finished work. With our client's permission we may also show the work in our portfolio, showreel, awards entries and case studies, including on exf.studio and exfstudio.ai.

Our lawful basis

We rely on the release you sign (a contract), on your consent where we ask for it, and on our and our client's legitimate interests in making and publishing the work. Any health information is used only with your explicit consent.

Who sees it

The crew, editors and post-production partners working on the project, our client and their agencies, and the platforms where the work is published.

How long we keep it

Final films and photographs are kept as part of our archive and portfolio. Unused footage is usually kept for up to 3 years after the project ends in case edits are needed, then deleted unless our contract with the client says otherwise. Release forms are kept for as long as the work is in use.

Your rights

You can ask what we hold about you, ask us to correct it, and ask us to stop using it in our own portfolio. Once a film has been delivered and published under a signed release, we may not be able to withdraw it, but we will always talk it through with you and our client. Email josh.e@exf.studio. You can also complain to the ICO at ico.org.uk.

Children and vulnerable contributors

We film people under 18 only with written consent from a parent or guardian, a chaperone present and a risk assessment in place. See our safeguarding policy.
